Short answer

Ask for seven things: an electronic tax invoice (e-CF), an itemized quote within 24–48 hours, a mockup and sample, a written lead time from artwork approval (10 to 18 business days for a full project), piece-by-piece quality control, delivery per person or per office, and a single contact. That is how Lemon Creativo works in Santo Domingo.

How is a corporate gifts supplier different from a promotional products supplier?

It's what happens after the logo goes on. A promotional products supplier delivers branded items in volume: pens, caps, bags for an event. A corporate gifts and kits supplier also has to handle presentation, build the packaging, deliver to each person and keep a program running all year.

If you're after branded items for a trade show or campaign, our guide to promotional items suppliers in the Dominican Republic is the one for you. If you need client gifts, welcome kits or recognition gifts, keep reading: what you should ask for is different.

What should you ask a corporate gifts supplier for?

Seven things. The first five are what procurement checks; the last two prevent problems once the gift is on its way.

Ask forWhy it mattersHow to check
Electronic tax invoice (e-CF)Without it, procurement can't record or deduct the expenseAsk whether they issue e-CF and can register as a vendor with your company
Itemized quoteLets you compare and trim where it shows leastIt should separate product, branding, packaging and service
Mockup with your brand and, when needed, a sampleThe only way to see the result before productionAsk for the mockup with the quote and a sample before approving a large run
Written lead time from artwork approval"Don't worry, it'll get there" is not a dateThe quote should state how many days and when the count starts
Piece-by-piece quality controlA crooked logo on a key client's box gets noticedAsk who checks and at what stage
Delivery per person or per officeCoordinating 40 deliveries isn't your team's jobAsk whether they cover the whole country and how each delivery is confirmed
A single point of contactThree suppliers who don't talk to each other means three problemsOne accountable person, one invoice, one date

What does the process look like, and how long does it take?

A reliable supplier explains the process before charging you. This is ours:

  1. Brief: goal, who it's for, quantity, date, delivery location and approximate budget. A vector logo saves time.
  2. Quote within 24–48 hours, with a clear proposal, a mockup of your brand and itemized pricing. No "magic price."
  3. Artwork approval and, when needed, a sample.
  4. Production and piece-by-piece quality control.
  5. Packing and delivery to one location, per person or per office.

Lead times are counted from artwork approval, not from the first email:

Order typeLead time
Single item with simple branding (mugs, tumblers, pens, ready-made boxes)2 to 4 days, depending on the item
Glass plaques, apparel, personal care kits5 to 7 days, depending on the item
Full project (multi-item kits, special packaging, volume, several deliveries)10 to 18 business days, depending on volume and technique
Event with more than 100 piecesPlan on at least 15 business days

Each step is explained on how we work. To show up with a ready brief, our guide to getting a better quote lists the details to prepare.

What should you give the supplier so the quote is precise?

Seven details. With them the quote comes back within 24–48 hours with no back-and-forth; without them, the supplier guesses and the price changes later.

  1. The goal: thanking clients, welcoming new hires, recognizing the team, an event.
  2. Quantity per group: 50 identical gifts is different from 40 at one level and 10 at another.
  3. The real delivery date, not the celebration date.
  4. Where it's delivered: one location, several offices or each person at home.
  5. An approximate budget per person. It lets the supplier propose what fits instead of sending the whole catalog.
  6. A vector logo (AI, EPS, SVG, or editable PDF). It saves days of artwork adjustments.
  7. The name list, if each item carries the person's name. It's part of the artwork.

How do you compare quotes from different suppliers?

Compare what each price includes, not just the total. Two quotes with the same number can be very different orders: one with packaging, per-person delivery and a sample; the other with loose items in a carton.

Three questions to put them side by side:

  • Do both include branding, packaging and delivery, or does one charge them separately?
  • Does the price include ITBIS (the Dominican VAT)? Lemon's catalog prices are reference prices before ITBIS.
  • Is the lead time counted from artwork approval or from payment?

If the total doesn't fit your budget, a good supplier suggests adjusting the scope (quantity, packaging, technique), not lowering quality. Our guide to corporate gifts by budget has examples for each range, from the 4-piece welcome kit with a notebook, pen, insulated bottle and mug (from RD$3,029) to premium boxes.

About minimum orders: it depends on the item and the technique. Some pieces we make from a single unit, like glass plaques; others are better ordered in batches so the branding setup pays off. We confirm it in the quote.

What if your company is abroad or has several offices?

Then the supplier has to handle delivery for you. It's common for teams to be spread across offices, to have remote staff, or for the company to be run from another country.

We offer fast delivery in the National District, coverage across the country, and projects in Punta Cana, Santiago and La Romana. If your company buys from abroad, our guide for foreign companies looking for a supplier in the Dominican Republic covers what to check: invoicing, payments and deliveries.

What if you give gifts all year?

Ask for a program, not one order per date. Birthdays, work anniversaries and new hires happen every week; coordinating each one separately wears out any HR team.

With the annual gift plan you approve the items, dates and budget once, and each delivery goes out on time. For example, a new-hire welcome kit (from RD$2,934) waiting at the desk on day one, without anyone having to remember. Our guide to year-round employee birthday and anniversary gifts explains how a program like this works.

What we do so you can compare without surprises

When procurement is comparing suppliers, the request is usually this one: "Please quote each product separately." That's fine with us. We send the quote within 24–48 hours, itemized and with a mockup, so you can compare with no commitment.

Three mistakes we often see when companies compare suppliers:

  • They compared unit prices without packaging or delivery, and the final total was different.
  • They approved without seeing a mockup, and the logo came out in another color or size.
  • They didn't have the date in writing, and the gift arrived after the celebration.

That's why we work with a single point of contact, one e-CF invoice and a written date counted from artwork approval. 35% of the clients who buy from us come back to buy again.

Questions to ask any supplier before you sign

  • Do you issue an electronic tax invoice (e-CF)? Can you register as a vendor?
  • Does the quote separate product, branding, packaging and service?
  • Can I see a mockup and, if needed, a sample before production?
  • How many days does it take, counted from when? Can I have that in writing?
  • Who checks quality, and at what stage?
  • Do you deliver per person or per office, and to which provinces?
  • Who is my contact from start to finish?

Frequently asked questions

What documents should a corporate gifts supplier provide?

An electronic tax invoice (e-CF), an itemized quote and, if your company requires it, the details to register them as a vendor. Also ask for the delivery date in writing.

How long does a corporate gifts supplier take to deliver?

From artwork approval: 2 to 4 days for a single item with simple branding, 5 to 7 days for plaques and apparel, and 10 to 18 business days for a full project. Events with more than 100 pieces need at least 15 business days.

Should I pick the supplier with the lowest quote?

Compare what each price includes: product, branding, packaging, delivery and quality control. If the number doesn't fit, adjust the scope (quantity, packaging, technique), not the quality.

Is a corporate gifts supplier the same as a promotional products supplier?

They overlap but aren't the same. A promotional products supplier handles branded items in volume; a gifts and kits supplier also takes care of presentation, packaging, per-person deliveries and year-round programs.
