It's coordinated before production, not the day before. The quote locks in the date and the hotel; with the organizer, we settle the rest:

In-room delivery depends on each hotel's rules; we arrange it with the hotel team when the group asks for it. Schedule delivery to the hotel with room to spare before the group arrives: a kit that shows up when guests are already in the lobby doesn't get handed out well.

The gift changes with who it's for within the group. For convention attendees, a light kit with a bag, notebook, pen, and bottle. What if the event is alcohol-free?
There are two routes. The first is local flavor without alcohol: the kit with a brownie, the mini greca, or the coffee box. The second is something useful at the resort: at the beach and during outdoor activities, people really use a cap, a reusable bottle, and a canvas tote.

How far ahead should you order?
A multi-piece kit takes 10 to 18 business days from artwork approval; if the event goes over 100 pieces, plan at least 15 business days. Single items, like a ready-made box, take 2 to 4 days per the product page.
Then add transit to the east coast and the day the hotel can receive. The practical rule: count back from the date the hotel needs the kits, not from the event date. If your convention falls in November or December, order earlier: along with July, those are the busiest months of our year.
How we deliver kits to the hotel
An event in Punta Cana has a problem that one in the capital doesn't: nobody on your team is nearby to check the goods before they reach the hotel. That's why quality control happens piece by piece before the boxes are closed, and the table above is settled with the hotel before production starts.
The process is the same as always: brief, a quote in 24–48 hours with a mockup and itemized pricing (product, branding, packaging, and service), artwork approval, production, and delivery. The difference is that the date and the hotel are written into the quote from the start.
Two things we see in requests: per-person branding is normal (clients often ask for the company logo next to each guest's name), and time is almost always tight, since many need the quote that same week. On an incentive trip, putting each winner's name on their kit makes sense; send the list along with the artwork.
